Bulk Training Class Upload and Payroll Processing for Caregiver Training Time

Currently, when a group of caregivers attend orientation, quarterly training, annual in-service, or other required training classes, CSS/HR staff must manually enter training time for each caregiver in the POC Training Scheduling Calendar. This process can be time-consuming, especially when multiple caregivers attend the same class. It also increases the chance of errors, missed entries, delayed payment, or inconsistent documentation.

The idea is to create a bulk training upload feature in POC. Staff would be able to create one training class in POC, add all caregiver attendees to that class, enter the training date, start time, end time, and training type, and then submit the class as one group entry. On the payroll side, POC would then allow the approved training time to be processed for all attendees at once instead of requiring each caregiver’s training time to be entered manually.

This would be helpful for orientations, quarterly trainings, annual in-service trainings, EVV/AuthentiCare trainings, compliance trainings, and any other group caregiver training sessions.

Idea Background

This idea addresses the current manual process used when caregivers attend group training sessions. At this time, CSS/HR staff are required to manually add training time for each caregiver into the POC Training Scheduling Calendar. When several caregivers attend the same orientation or training class, this creates duplicated work because the training date, time, and class information are usually the same for everyone.

The stakeholders affected include CSS staff, HR/recruiting staff, branch leadership, payroll staff, and caregivers. CSS/HR staff are affected because they spend additional time entering repetitive information. Payroll staff may be affected if entries are delayed, missing, or entered incorrectly. Caregivers are affected because training time must be entered correctly in order for them to be paid accurately and on time. Branch leadership is also affected because accurate training records are important for compliance, audit readiness, and workforce management.

A bulk training upload feature would help reduce repetitive manual data entry, improve accuracy, and make it easier for branches to document and pay caregiver training time in a timely manner.

Idea Benefit

The benefit of this idea would be a faster, more accurate, and more efficient way to manage caregiver training time. Staff would be able to create one training class, select or upload the caregivers who attended, and submit the training time for everyone at once. This would reduce manual work, save administrative time, lower the risk of payroll errors, and help ensure caregivers are paid correctly for required training.

It would also improve compliance documentation because each caregiver’s attendance and training time would be connected to a specific class record in POC. This would make it easier to review training history, confirm attendance, and support audits or internal reporting. Overall, this feature would help branches manage orientations and required trainings more efficiently while improving the caregiver experience.
