Currently, after caregivers complete quarterly training, orientation, annual in-service, or other required training classes, CSS/HR staff have to manually update each caregiver’s training and certification record one by one in POC. This includes adding the course or certification name, the acquired/completed date, and the expiration date when applicable.
This process is very time-consuming when an entire group attends the same training class. For example, if 10 or 20 caregivers attend quarterly training, staff must go into each caregiver’s profile individually and enter the same training information repeatedly. This creates duplicate work and increases the risk of missed records, incorrect acquired dates, incorrect expiration dates, or inconsistent documentation.
The idea is to create a bulk training/certification update feature in POC. Staff would be able to create or select a completed training class, choose all caregivers who attended, enter the course/certification name, acquired date, expiration date, and any other required details, and then apply that training/certification record to the entire group at once.

Idea Background
This idea addresses the current manual process of updating caregiver training and certification records after group training sessions. Once quarterly trainings or other required classes are completed, CSS/HR staff must go back into POC and manually add the course or certification information for each caregiver individually. This is separate from entering training time for payroll, because this process is about maintaining the caregiver’s official training and certification history. The stakeholders affected include CSS staff, HR/recruiting staff, branch leadership, compliance staff, payroll/operations teams, and caregivers. CSS/HR staff are affected because they spend extra time completing repetitive data entry. Compliance and branch leadership are affected because accurate training records are necessary for audits, employee file reviews, credential tracking, and confirming that caregivers remain eligible and up to date. Caregivers are affected because missing or incorrect training records could make it appear that they have not completed required training, even when they did attend. A bulk update option would help ensure that completed trainings and certifications are recorded accurately and consistently for all attendees. |

Idea Benefit
The benefit of this idea would be improved accuracy, efficiency, and compliance tracking. Staff would be able to update training and certification records for an entire group at one time instead of manually entering the same information into each caregiver’s profile. This would save administrative time, reduce duplicate work, and lower the risk of missing or incorrect training records. This feature would also improve audit readiness because completed training records would be easier to document and verify. It would help branches maintain accurate caregiver files, track expiration dates more consistently, and quickly confirm which caregivers have completed required quarterly, annual, or certification-based training. Overall, this would make the post-training process much smoother by allowing staff to record group training completion in one step while keeping caregiver records accurate and compliant. |
